There are two kinds of email, and you can use either or both. Both are in a form’s Settings tab, under Email notifications.

Emails to you

Turn on Self email notifications to get an email for each new submission. It’s handy when a response needs a fast reply, like a support request or a sales lead. Under Recipient emails you can send the notification to more than one address, and on Pro and above you can add CC emails and BCC emails too. Only your account email and addresses you’ve verified under Linked emails can be chosen, and how many recipients you can add depends on your plan. For a shared team feed, connect Slack, Discord or Telegram instead. See Integrations.

Emails to respondents

Respondent email notifications sends a confirmation to the person who filled in the form. It needs the Pro plan or higher. To turn it on:
  1. On a Hosted form, add an Email question first. The toggle stays off until there is one. The confirmation goes to whatever address the respondent typed there. If the form has more than one Email question, choose which one under Send confirmation to.
  2. On an Endpoint form, enter the name of the field that holds the address, for example email. If you leave it empty, SurveyOwl looks for a field called email.
  3. Set a Sender name, an optional Reply-to, a Subject and a Message. Reply-to has to be a verified address.
The subject and message can use placeholders in double curly braces. {{form_name}} becomes the form’s name and {{submission_id}} becomes the response reference. Any other placeholder, like {{first_name}}, is replaced with the answer to that question, matched by the question’s title or, on an Endpoint form, the field name. Blank lines start a new paragraph. SurveyOwl puts your text in its own email design. If you leave the subject and message alone, respondents get “Thanks for your response to ” and a short thank-you note.

Test it

Submit a real response and check your inbox. If nothing arrives, look in spam.
